TERMS AND CONDITIONS
This document sets out the terms and conditions between the Moldovan Association of ICT Companies on behalf of the organizers of the AI & Big Data Conference (hereinafter referred to as "the Conference") and you when you register for the Conference. By registering for the Conference, you are agreeing to comply with these terms and conditions. You should read this document carefully.
Registration and Payment
- To register for the Conference, you must complete the online registration form and pay the applicable fee. The registration fee includes access to all sessions, workshops, and networking events of the Conference, as well as conference materials, refreshments, and lunch.
- The registration fee does not include travel, accommodation, or any other expenses that you may incur to attend the Conference.
- You can pay the registration fee by credit card or bank transfer. If you choose to pay by bank transfer, you must provide proof of payment within 10 days of completing the registration form. Otherwise, your registration may be cancelled.
- You will receive a confirmation email once your registration and payment are completed. Please check your spam folder if you do not receive the confirmation email within 24 hours.
- If you are unable to attend the Conference, you may cancel your registration by providing written notice to the Conference organizers. The cancellation policy is as follows:
- If you cancel your registration more than 30 days before the Conference start date, you will receive a full refund of the registration fee, minus a 10% administrative charge.
- If you cancel your registration between 15 and 30 days before the Conference start date, you will receive a 50% refund of the registration fee, minus a 10% administrative charge.
- If you cancel your registration less than 15 days before the Conference start date, or if you do not attend the Conference, you will not receive any refund of the registration fee.
- You may transfer your registration to another person from the same organization, subject to the approval of the Conference organizers. You must notify the Conference organizers of the transfer at least 10 days before the Conference start date, and provide the name, email, and affiliation of the new attendee. No additional fee will be charged for the transfer.
- The Conference organizers reserve the right to change the Conference program, speakers, venue, or dates at any time, without prior notice. In the event of a change, the Conference organizers will make reasonable efforts to inform the registered attendees as soon as possible.
- The Conference organizers are not liable for any loss or damage that you may suffer as a result of such changes, or for any cancellation or postponement of the Conference due to circumstances beyond their reasonable control, such as natural disasters, pandemics, strikes, or acts of terrorism. In such cases, the Conference organizers will offer you the option to either receive a full refund of the registration fee, or transfer your registration to a rescheduled or alternative event, subject to availability.
Participation and Conduct
- You are expected to behave in a professional and respectful manner during the Conference, and to adhere to the Conference code of conduct, which will be provided to you before the Conference start date. The Conference code of conduct prohibits any form of discrimination, harassment, or bullying against any person for any reason, such as age, gender, race, religion, disability, or sexual orientation.
- You are also expected to comply with the rules and regulations of the Conference venue, and to respect the property and privacy of the venue staff and other attendees.
- The Conference organizers reserve the right to deny access to, or remove from, the Conference any person who violates these terms and conditions, the Conference code of conduct, or the venue rules and regulations, without any refund or compensation.
- You are responsible for your own personal belongings and valuables during the Conference. The Conference organizers are not liable for any loss, theft, or damage of your belongings or valuables, whether in the Conference venue or elsewhere.
Travel Documents and Visas
- If you are traveling from outside the country where the Conference is held, you are responsible for obtaining and maintaining a valid passport, visa, and any other travel documents required by the laws and regulations of the country of origin, transit, and destination. You are also responsible for complying with the health, customs, and immigration requirements of the country of destination.
- The Conference organizers are not liable for any loss or damage that you may suffer as a result of your failure to obtain or maintain the necessary travel documents, or to comply with the applicable laws and regulations. The Conference organizers are also not obliged to refund or compensate you for any costs or expenses that you may incur due to such failure.
- The Conference organizers may provide you with an invitation letter or a confirmation of registration upon request, to assist you in obtaining a visa or other travel documents. However, the Conference organizers do not guarantee that you will be granted a visa or other travel documents, and the provision of such documents does not imply any endorsement or sponsorship of your participation in the Conference by the Conference organizers. You are solely responsible for submitting your visa application and following up with the relevant authorities.
Data Protection and Privacy
- By registering for the Conference, you agree that the Conference organizers may collect, process, and use your personal data for the purposes of administering your participation in the Conference, and for sending you information and updates related to the Conference, such as the Conference program, speakers, sponsors, exhibitors, and feedback surveys.
- The Conference organizers will treat your personal data in accordance with the data protection and privacy policy, which is available on the Conference website (link) and which is hereby incorporated into these terms and conditions. The data protection and privacy policy explains how the Conference organizers collect, process, and use your personal data, what rights you have regarding your personal data, and how you can contact the Conference organizers if you have any questions or concerns about your personal data.
- The Conference organizers may share your personal data with third party service providers who assist them in the conduct of the Conference, such as the venue, the catering, the registration, the payment, the mobile application, and the evaluation. These third party service providers are bound by contractual obligations to protect your personal data and to use it only for the purposes of providing their services to the Conference organizers.
- The Conference organizers may also share your personal data with other attendees, speakers, sponsors, exhibitors, and partners of the Conference, for the purposes of facilitating networking, collaboration, and communication among the Conference participants. You can opt out of this data sharing by contacting the Conference organizers at any time before the Conference start date.
- The Conference organizers may take photographs, videos, and audio recordings of the Conference, which may include your image, voice, or name. By registering for the Conference, you consent to the Conference organizers using these photographs, videos, and audio recordings for the purposes of documenting, promoting, and reporting on the Conference, and for other related purposes, such as research, education, and publication. You can withdraw your consent by contacting the Conference organizers at any time before the Conference start date.
Disclaimer and Limitation of Liability
- The Conference organizers do not endorse or guarantee the accuracy, quality, or reliability of any information, opinions, advice, or statements made by the speakers, sponsors, exhibitors, or other attendees of the Conference. You are solely responsible for evaluating and verifying the information, opinions, advice, or statements that you receive or provide during the Conference, and for any actions or decisions that you take or make based on them.
- The Conference organizers are not liable for any direct, indirect, incidental, consequential, or punitive damages that you may suffer as a result of your participation in the Conference, or as a result of any errors, omissions, interruptions, delays, defects, or failures in the Conference program, materials, services, or facilities, whether caused by negligence, breach of contract, or any other reason, even if the Conference organizers have been advised of the possibility of such damages.
- To the extent permitted by law, the Conference organizers' total liability to you for any claim arising out of or relating to these terms and conditions or the Conference, whether in contract, tort, or otherwise, is limited to the amount of the registration fee that you paid for the Conference.
Governing Law and Dispute Resolution
- These terms and conditions are governed by and construed in accordance with the laws of the country where the Conference is held, without regard to its conflict of laws principles.
- Any dispute arising out of or relating to these terms and conditions or the Conference shall be submitted to the exclusive jurisdiction of the competent courts of the country where the Conference is held, unless otherwise agreed by the parties in writing.
